How to Reserve a County Holiday Home

We're delighted that you've decided to rent a holiday home in Prince Edward County!!

To ensure prompt service, we recommend that you check the following items before contacting us or making a booking:

  • You've selected at least one Holiday Home that interests you and you've checked its policies to make sure that it's suitable for your group
  • You've confirmed its availability using the Availability Calendar at the bottom of the Holiday Home webpage
  • You also need to consider the following:
    • Are sheets and towels provided with your rental, do you require sheets and/or towels for a fee, or will you be bringing your own?
    • Is cleaning provided with your rental or do you require check-out cleaning service for a fee?
    • Are you planning to bring a pet(s), and did you check to see if it's a pet-friendly property? If so, you'll need to provide a description of the pet(s) and a fee is applicable.

OFFICE HOURS during COVID

We are in the office Monday to Friday. A call ahead is suggested as we may be out at a property! We ask that if you are showing any signs of COVID-19 or have been in contact with anyone who has or may have COVID-19, you wear a mask when visiting our office. Thank you!

Messages are checked regularly and we do our best to respond to all inquiries within 24 hours, 7 days per week.

If you'll be a guest at one of our properties and you need assistance outside of office hours, you can call 1-866-576-5993 and an on-call phone number will be provided in the message.

Processing time for reservations

To ensure proper service, a minimum of 24 hours is required to process a reservation from the time that a reservation is accepted until time of check-in.

TO MAKE A BOOKING:

  • Search Our Rentals to find the holiday home for your stay
  • Click on the 'Reserve' link below the Availablility Calendar. We use Airbnb as our booking and payment centre therefore you'll be directly connected to them
  • Provide your booking dates and make a payment (see COSTS & PAYMENTS below)
  • Once Airbnb confirms the booking, we will be in touch with you to gather the following details:
    • Your name and address, phone number(s), and email address
    • Number of persons (including children and infants), we will also require the ages of the children to make sure you meet occupancy requirements as laid out by local By-Law # 4518-2019.
    • Whether you require any additional services.

Any personal information collected is for our own records and will not be sold or shared with anyone else other than your host. We will create/update your account with this information.

COSTS & PAYMENTS

  • The rental amounts vary from home to home, depending on amenities, location and size - please check the holiday home listings for details. All rentals require a refundable security deposit of at least $200.00.
  • The cost of the rental includes the rate for the holiday home accommodation for the time period being rented. All taxes, where applicable, are included in the rates quoted. Depending on the holiday home, there may be extra charges for optional services. For example, some hosts may be able to offer a full cleaning service and/or linen service.
  • All holiday home rates and fees are quoted in Canadian dollars and payment is made through Airbnb using a major credit card.

How to Make a Payment to Airbnb

  • You'll make a payment to Airbnb when you make your booking. Click here for more details on payment methods accepted by Airbnb.
  • If the reservation is made within 2 weeks of your stay, the full amount is due at booking.
  • If the reservation is made more than 2 weeks prior to your stay, you'll be offered the 'Pay Less Up Front' option whereby you can pay 50% at booking and the balance about 2 weeks prior to your stay. To qualify for 'Pay Less Up Front', the total stay must be $250 or more, and be booked at least 14 days from the check-in date.
  • You'll also be required to provide authorization for a security deposit. Click here for more details about security deposits.

OPTIONAL SERVICES

Cleaning

Standard policy with private holiday home rentals is for guests to leave the property as they found it and this may include general cleanliness - please check the Linens, Supplies, & Cleaning section of the holiday home webpage for specifics. If cleaning service is not included, you can pre-arrange for this service for an additional fee; the rate ranges from $45 - $150 depending on the home. Cleaning equipment & supplies are provided at each place.

Linens

Blankets and pillows are always provided at holiday homes however you may be required to bring your own sheets/pillowcases, bath towels, and kitchen linens - please check the Linens, Supplies, & Cleaning section of the holiday home webpage for specifics. We can also provide a linen service as long as it is pre-arranged and pre-paid one week prior to your arrival. The standard fee ranges from $21 per set of sheets (per bed) and $11 per set of towels (bath, hand, & facecloth). Kitchen linens are complimentary when you order both sheets and towels.

Early Check-in / Late Check-out (Available in Low Season only)

For a fee ranging from $85 - $200, you can check in 4 hours early on your arrival day OR you can check out 4 hours late on your departure day. We offer a complimentary early check-in OR late check-out for reservations that take place during the off-season from January to April. Simply request your complimentary early check-in OR late check-out when you make your reservation. This offer is only valid if pre-arranged.

Additional Persons (more than the posted maximum)

Local by-laws determine the maximum number of persons that can stay at a vacation property, and it's based on number of bedrooms and parking spaces. The owner of the property can be fined if they exceed this maximum therefore we cannot permit additional persons.

Adding or Cancelling Optional Services

If you need to add or remove optional services after you've accepted the rental agreement, please contact our office my phone or email. Note: there may be a $15 ($13.27 + $1.73 HST) administration fee for adding or cancelling optional services after the rental has been paid in full.

Baby Accessories

We have two 'pack n play' type playpens and two table booster seats available for guest use. They can be picked up at our office, free of charge, and can be left at the rental property upon your departure.  You can also pre-arrange for delivery for a small charge. MULTIPLE WEEKS - 5% discount for multiple week rentals. Housekeeping will NOT be provided during your stay.

CONFIRMATION OF RESERVATION

A booking is considered confirmed when your booking payment has been processed AND we've received all the information that we require to complete your booking. Once we have these items, we will send a Reservation Confirmation email that provides:

  • Confirmation of holiday home and dates.
  • Online access to a Holiday Home Information Sheet. These are your host's policies, instructions and notes on the holiday home including bed sizes and the holiday home telephone number if there is service. Please review carefully prior to going to the holiday home and call if you have any questions. If your host is the main contact during your stay, their name/telephone number will be noted here as well. The Information Sheet is also posted at the holiday home.
  • A Map Link for Google Maps (or MapQuest) which provides the map location of the property and directions from your residence to the vacation property.

Confirmations will be sent by email unless other arrangements are made at the time of booking.

SECURITY DEPOSITS

A security deposit is required to ensure that the holiday home is left in the same condition as it was found by the renter, including cleanliness. The hosts are responsible for checking the holiday home before and after each booking but renters are expected to leave the holiday home clean and undamaged. Where telephone service is provided, renters are expected to use their own mobile phone for any long distance calls.

All rentals require a pre-authorized security deposit of at least $150.00. The security deposit is provided by credit card authorization at the time of booking and fees will only be charged to your credit card if the host makes a claim.

GETTING THE KEYS

Most of our vacation homes are equipped with lock boxes. These lock boxes contain the keys to the holiday home and can be accessed when a security code has been entered. At the end of the rental period the keys are to be returned to the box.

You will receive the combination for the lock box, usually via email, during the week prior to the start of your booking. Where there is no lock box, other arrangements will be made.

The renter will return the keys to the holiday home lock box. If you should happen to take the keys with you when you check out, you must notify the office ASAP and make arrangements to return them by courier within five days of check-out. The renter can be charged up to $75 for loss of keys or failure to return the keys within the stipulated time.

ARRIVAL AND DEPARTURE TIMES

Unless otherwise noted, check-in is either 3:00 PM or 4:00 PM the day of arrival and check-out is 11:00 AM on the day of departure. Please check your reservation confirmation.

Most high season (i.e. summer) bookings are weekly and start and end on a Friday, Saturday or Sunday.

It is extremely important that you leave by the check out time - and not arrive earlier than the check in time unless you've made special arrangements to do so. Our staff and/or the hosts need the time between bookings to inspect/clean the property, cut grass, make repairs, etc. Failure to depart on time means that staff must be paid to wait for you and this cost will be passed on to you. Then we will be rushed to complete all chores in time and the next guests checkin could be delayed. We thank you for your consideration.

During low season, it may be possible to arrange for an early check-in or a late check-out for an additional fee. Please inquire when you are are making your reservation.

CANCELLATIONS

  • For bookings cancelled up to 14 full days prior to the check in date, 100% of the rental amount paid to date will be refunded by Airbnb (not including service fees).
  • For bookings cancelled up to 7 full days prior to check in, 50% of the rental amount paid to date will be refunded by Airbnb (not including service fees).
  • For bookings cancelled less than 7 full days prior to check-in or if guest decides to leave early after check-in, no refund will be provided. There may be exceptions for extenuating circumstances.

SCREENING PROCESS

We are handling private vacation properties and we need to give the hosts a sense that we are renting to responsible people who are going to treat their home with respect. Family groups, couples, and mature singles are welcome. Sorry but we do not rent to groups of singles under the age of 25. Think of it as if we are renting out YOUR private home. Any information collected is used for internal screening purposes only.

HOLIDAY HOME POLICIES

The renter shall abide by the Holiday Home policies and any other instructions contained in the Holiday Home Information Sheet provided by the host. All such conditions also apply to guests visiting the property, whether day visitors or overnight.

MAXIMUM OCCUPANCY

Check the holiday home webpage for specifics for the home that you've chosen. Local by-laws determine the maximum number of persons that can stay at a vacation property, and it's based on number of bedrooms and parking spaces. The owner of the property can be fined if they exceed this maximum. In addition, maximum capacity is set to preserve the demands on the water system, the septic system and to maintain the condition of the holiday home.
